🗂 Step 2: Add Appointment Types
You’ll now create appointment types that match exactly what’s used in your EHR.

For example, you might add:
Comp Exam
Comp Exam + CL New
Comp Exam + CL Old
🔠 Make sure these appointment names are spelled exactly as they appear in your EHR system.
📄 Step 3: Choose How Authorizations Are Structured
SpexFetch gives you flexibility in how you want authorizations to be generated:
🟢 Option 1: Single Authorization
Some clinics prefer to keep things simple by including all services and materials on a single authorization. This is perfectly acceptable and works well when:
- A single department handles both the exam and materials
- You want fewer documents and simpler workflows
For example, the appointment type
Comp Exam might authorize:Exam
Contact Lens Fitting(if applicable)
Materials
Essential Medical(optional)
🔵 Option 2: Split Authorizations

Other offices choose to generate two separate authorizations—one for services, and another for materials. This is especially useful if:
- Different departments handle billing (e.g., exams vs. eyewear)
- You want to clearly separate patient benefits and usage
For example, the appointment type
Comp Exam + CL New might return:- Authorization #1 – for:
ExamContact Lens Fitting
- Authorization #2 – for:
Materials(e.g., frames, lenses, contacts)
🚀 What Happens Next?
Once configured:
- Running a Single Search or Bulk Verification will automatically apply these appointment rules.
- SpexFetch will generate one or two authorizations based on the appointment type.
- PDFs for each authorization will be returned with the results.
Example:
If your EHR sends the appointment type
Comp Exam + CL New, SpexFetch will:- Detect the need for two authorizations
- Run both queries
- Return both PDFs, fully separated and ready for use
