Mapping Configuration for Bulk Verification

Before running a bulk verification in SpexFetch, you'll need to set up your mapping configuration. This ensures the system knows which appointments and vision plans to include when pulling data from your connected EHR.
🔍 Step 1: Set Filtering Parameters
Filtering parameters tell SpexFetch which appointments to include or exclude during verification.
  • The app pulls your patient schedule directly from your EHR.
  • You’ll define:
    • Appointment types to exclude (e.g., Rx Check, Glaucoma Workup, Foreign Body)
    • Appointment types to include (e.g., Comprehensive Exam, CL Evaluation)
    • Appointment statuses to include (e.g., only Active patients)
💡 Pro tip: Some offices prefer to verify all appointments, while others skip medical-only visits. It’s totally up to your workflow.

Important: Spelling must be 100% accurate when entering appointment types and statuses. If there are any typos or mismatches, SpexFetch will not recognize them—and those patients will be excluded from verification results.

🗺️ Step 2: Set Mapping Parameters
Mapping parameters connect your EHR internal plan names with the supported vision plans in SpexFetch.
  • For example, if you're mapping VSP, we need to know what you call VSP inside your EHR:
    • VSP Signature Plan
    • VSP Choice
    • VSP Advantage
    • Etc
Map all variations inside SpexFetch so the system knows they all belong to the VSP plan family. You can enter as many aliases as needed for each plan. This ensures accurate matching during verification.
